Everybody on your account has one role, and the role decides what they may do. There are five, and there is no permission matrix to fill in.
The split that matters is Editor and Publisher. Building a variation and deciding your company will show it to real visitors are two different jobs, and in most companies two different people. An editor can build a test and cannot start it. A publisher can start it.
The five roles
| Role | What they can do |
|---|---|
| Viewer | Reads results and the decision log. Changes nothing. |
| Editor | Builds tests and variations. Cannot start one. |
| Publisher | Everything an editor can do, and can start and stop a test. |
| Admin | Everything, including the custom JavaScript switch, the AI switch and the brand rules. |
| Owner | The person who pays. Everything an admin can do. |
Each role includes everything the one above it can do.
Owner is not a role you can hand out. It moves with the account, not with an invitation, so it is not offered when you invite somebody and it cannot be set later. An account with two owners is an account nobody is responsible for.
Only an admin or the owner can invite people or change roles.
How to invite somebody
- Open the team screen.
- Type their address under Email address to invite.
- Pick a Role. Give the least that lets them do their job. You can raise it later in one click.
- Send it. They get an email with a link.
The link lasts 14 days. That is long enough to survive somebody's holiday and short enough that a link found in an old mailbox has stopped working.
If you invite the same address again, the new invitation replaces the old one. Two live links to one account means the one somebody forgot about is still valid after you told them they were removed.
What each label means
| Label | What it means |
|---|---|
| Email address to invite | Where the invitation is sent. One person per invitation. |
| Role | What they will be able to do. Owner is not on the list. |
| Remove from team | Takes somebody off the account and frees their seat. |
| Withdraw | Cancels an invitation nobody has accepted yet. |
On the team screen:
| Column | What it shows |
|---|---|
| Member | Who they are. |
| Role | Their role, which you can change from here. |
| Last active | When they were last in. "Not yet" if they have never signed in. |
| Expires | On a pending invitation, when the link stops working, or "Expired". |
Good to know
- A pending invitation takes a seat. The seat is taken when it is promised, not when it is accepted. Otherwise a two seat plan could promise fifty, and the limit would bite a stranger clicking a link they were sent in good faith.
- How many seats you have depends on your plan. The team screen shows how many are used and how many are left. When they are all taken, invite somebody and you are told to remove a person or move up a plan.
- You cannot change your own role, and you cannot remove yourself. Somebody else has to do either. It stops the last admin locking everybody out by accident.
- The owner cannot be removed or have their role changed. Transfer the account first.
- Inviting an address that is already on the team is refused rather than duplicated. You are told they are already there.
- Removing somebody takes effect at once. Anything they built stays: a test they wrote does not leave with them.
- Give people the least role that works. A viewer who needs to build something will ask, and that takes a minute. A publisher who did not need to publish can start a test on your live site.
